What are the different areas of Maintenance?
From this screen, non-billing related programs and related services data can be updated. This is a powerful feature that permits a mass update of Providers, Supervisors, or Site information. Please note that updating student information en masse will only maintain historical data when updating BOCES Providers information. When a provider changes and the mass update utility is used, the student's current program is ended on the last day of the old provider and a new program entry is made beginning the next available school day with the new provider listed. Updating the provider en masse will not result in crediting and/or debiting since the affected students are not dropping the program or missing a day. Updating information will require:
Specifying an “As Of Date”: Any students that are still enrolled in a program or receiving a related service (depending on which one you are updating) on the “As of Date” will have their program or related services included as part of the update.
Choosing the old data value: By choosing an old data value, the criteria for updating is being narrowed. For example, if we are updating provider information and we select the old provider value of “Smith, John”, the only student records that will be affected are the ones that currently have “Smith, John” as the provider.
Choosing the new data value: By choosing the new data value, we are specifying what new information we want to replace the old information. In the example above, if the new provider value is “Clark, Mary”, all students that have “Smith, John” on the As of Date will be updated with the new provider “Clark, Mary”.
Selecting the data to update: Select the option to update this information for programs, related services, ESY programs, or ESY related services. Default values will be pre-selected depending upon the time of year.
