How are Related Service Costs Calculated?
The following fields directly impact billing for related services:
Start and End Dates: Similar to the FTE calculation process for programs, BOCES Direct examines the start and end dates for related services to determine whether a student should be billed for an entire month or a partial month, then checks to make sure during the same period the student is also enrolled in a program. Billing for Related Services is enrollment based, meaning that a student’s related services are only billed if he/she is also enrolled in a program for the same time period.
Frequency and Period: These values help determine how often a service is provided. Examples of the frequency and period combination include: 3 times a week, 2 times a month, or 1 time daily. BOCES Direct automatically converts the periods, recognizing equivalents such as: 1 time a week is the same as 4 times a month, etc.
Ratios: The ratio, or group size, is a large determinant in a BOCES’ hourly billing rate. BOCES Direct accommodates hourly rates for each related service based on its ratios. For example, a single related service can be billed at an hourly rate of $90 if offered in an individual setting, $45 if offered in a group setting, and $75 if offered in a family setting.
Duration: The duration is the length of time that each related service session lasts. If a session lasts 45 minutes, the service will be billed at .75 X the hourly rate. Similarly, if the session lasts 1 hour 15 minutes, the service session will be billed at 1.25 X the hourly rate. BOCES Direct calculates that billing amounts automatically without user intervention.
