How do I use the Related Services Section?
Occasionally it may be necessary to edit a student’s related service. To edit a related service, follow the following steps:
Select the Related Service to Edit: Click on the pencil icon to edit the related service. Note: A related service that has already been billed cannot be deleted.
Edit applicable information: The fields that can be edited are Site, Start Date, End Date, and Provider. The Start Date and End Date fields will affect service dates and will impact billing, so caution should be exercised when editing those fields.
Change the Level of Service: In order to ensure accurate billing when a student changes his/her level of service mid-month, BOCES Direct tracks exactly when the student changed his/her level of service. This is accomplished using the “Change Level of Service” feature. This feature is available via a button atop the related service edit screen, and provides complete assistance when editing the ratio, frequency,period, and minutes data for a student.
Save Changes: After you have adjusted your data, Click Save.
When editing
a related service after billing has started for the year, the system will
verify that changes did not affect any months that may have already been
billed. If they have, BOCES Direct will automatically create an adjustment
for the billing district that the student belongs to. Based on the
actual changes, the adjustment will either be a credit or debit. The
