What role does File Sharing play in the BOCES Direct Implementation Process?
In some cases after a student is initially shared, he/she moves to another district. This move does not mean that the student is leaving BOCES. In fact, in many cases the student does not even miss a day. The move does, however, signify a change in accountability for the student, and thus results in a change in Billing District.
Before the original district can transfer the student’s file to the new billing district, it must un-share the student’s file with BOCES. Doing so will not impact current billing for the student. After doing so, the old district can then transfer the student’s file over to the new district, who can then share it back to BOCES. Handling the change of district in this manner will ensure BOCES Direct recognizes the student as being the same person when the student is accepted back from the new district.
Please note that when un-sharing then re-sharing a student, BOCES Direct will NOT automatically update the billing district information to the new district. This must be handled from within the billing department. The reason for this is deliberate, as the date the student’s file was re-shared more than likely is not the actual day that he/she changed billing districts. Handling the change in districts in this manner will also allow you to change a student’s billing district in BOCES Direct independent of when the file is un-shared and re-shared.
