How do I use the Programs Section?
The Programs and ESY Programs sections are used specifically to assign BOCES Programs to a student and maintain specific information as it pertains to the student’s activity within that program.
A Billing District must be specified before a student can be enrolled in a program.
A status of “Active” is required before a student can be enrolled in a program.
A student can only be enrolled in one program at a time. The system will not allow a student to be enrolled in multiple programs within the same date range.
A Program start or end date can never fall on a weekend.
A student cannot be enrolled in a program for a future or prior year if the student does not have an IEP document in that school year. The extended school year marks the beginning of a new school year.
If the wrong program is accidentally added for a student it must be deleted and re-added correctly. The system does not permit the incorrect program name to be changed to reflect the correct program.
If a student has been billed for a program in at least one month, the program cannot be deleted from the system. A record must always be kept for historical and tracking purposes. Therefore, the incorrect program should be ended and the correct program should be added separately.
If you enroll a student in a program that is bundled with related services, those related services will automatically be added in for a student. At the time the related service is added, all information will be specified automatically except for the provider, which must be specified separately.
